Who we are

Administration Services Limited is a UK chartered accountancy and business advisory firm with a registered office at Rose Cottage, Sproxton, York, North Yorkshire, YO62 5EF, and a trading office at 52 Grosvenor Gardens, London, SW1W 0AU. For the purposes of UK GDPR, we are the data controller for the information described below.

Information we collect

Depending on how you interact with us, we may collect:

  • Identity and contact details — name, company, role, email and phone number you submit through our enquiry form or share by email or phone.
  • Engagement information — records and documents you provide so we can deliver audit, tax, advisory, outsourcing, corporate finance or wealth planning services.
  • Correspondence — emails, letters and meeting notes relating to your engagement.
  • Website usage — basic technical information collected automatically when you visit this site (see our cookies policy).

Why we use your information

We use personal information to:

  • Respond to enquiries and provide the services you have asked us to deliver.
  • Meet our professional, legal and regulatory obligations — including those of the ICAEW, HMRC, Companies House and the FCA where relevant.
  • Manage client relationships, billing and internal record-keeping.
  • Improve our website and the way we communicate with you.

Lawful basis

We rely on a mixture of lawful bases under UK GDPR — performance of a contract with you, compliance with a legal obligation, and our legitimate interests in running a regulated professional services firm. Where we rely on consent (for example, marketing emails), you can withdraw it at any time.

Who we share it with

We do not sell personal information. We share it only where necessary with: HMRC, Companies House, the Charity Commission and other regulators or authorities; our regulator and external file reviewers; our IT, hosting, accounting and communication providers acting under written contracts; and our professional advisers and insurers. Where information is processed outside the UK, we put in place safeguards required by UK GDPR.

How long we keep it

We keep client records for as long as we are providing services to you and afterwards for the period required by law and our professional standards — typically seven years after an engagement ends. Enquiry data submitted by prospective clients is kept for up to two years unless we agree otherwise.

Your rights

You have the right to ask us for a copy of the information we hold about you, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable format. To exercise any of these rights, please contact us using the details below.

Complaints

If you are unhappy with how we have handled your information, please raise it with us first so we can put things right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.
